Job Title: Legal Operations Assistant

Overview:
Responsibilities:
- Track attorney billable hours and assist with preparation and distribution of client invoices
- Respond to client billing inquiries and support timely resolution of billing issues
- Assist with collections efforts, including follow-up on outstanding invoices
- Maintain accurate billing and financial records
- Collaborate with finance and accounting staff to reconcile records and resolve discrepancies
- Track client-related expenses and ensure timely and accurate billing of reimbursable costs to clients
Document & File Management
- Organize, maintain, and update legal documents, including correspondence, pleadings, contracts, and case files
- Ensure accurate and timely filing of documents from file opening through closing
Client & Professional Interaction
- Assist with client communications and general inquiries
- Maintain professional relationships with clients, court clerks, and agency staff
- Serve as a liaison between attorneys and clients, as needed
Administrative Support
- Assist with drafting engagement letters
- Answer phones, manage mail, and maintain office supplies
- Provide coverage and administrative support during staff absences
- Assist with special projects and perform other duties as assigned
- Proactively follow up with attorneys to ensure completion of required administrative and billing-related tasks
Confidentiality & Professionalism
- Handle sensitive and confidential information with discretion and professionalism at all times
Qualifications:
- Proficiency with billing software and accounting systems (legal billing experience strongly preferred)
- Working knowledge of legal billing terminology and invoicing procedures
- Strong organizational skills and exceptional attention to detail
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Outlook, Word, Teams, Excel)
- Ability to work independently and collaboratively in a fast-paced environment
- Strong time-management skills with the ability to manage multiple priorities
- Positive, proactive, and professional attitude
- Commitment to continuous learning and improvement
Education & Experience:
- Paralegal certification or equivalent relevant work experience
- 1–3 years of experience as a legal assistant or administrative assistant
- Prior experience in a fast-paced, growth-oriented environment
- Active Maryland Notary, or willingness to obtain upon hire
Compensation Range:
- $22-$25/hour
